  • 3rd Party Agreement Form

    *This form may be called something different in your instance, depending on instance customization. 

     

    The 3rd Party Agreement form is a Tech form, which means it is accessible to technicians and is stored in the Customer Contract Forms section of a work order.

     

     

     

    The 3rd Party Agreement form is special because it is linked to the Required Equipment entered for a work order. The form will automatically pull the required equipment costs and info from the work order (along with other info such as customer name, etc.), and automatically calculate the taxes based on the state the customer is in:

     

    Note: If you would like tax rates to be calculated automatically for each peice of required equipment added to a work order, then you will need to set up Areas with their relevent zip codes. See THIS article for more information. You can of course always edit the tax rate manually for each individual line item you add to the work order:

  • Accessing Form Management (Editing Order Forms)

    1. Login to ADMIN FastGem
    2. Click on the diamond icon in the top left hand corner of the page. 
    3. Click on the 'Form Management' option at the very top of the list. 

    Note: Before editing a formyou should always use the 'Duplicate' button to create a duplicate of the form, in case you break something by accident. Then, after you are sure your changes have been applied and are working the way you wish them to in front end, you can delete the duplicate form.

  • Adding a New Package to FastGem

    *You must have Internal User Permissions to access this feature! 

    Added packages appear in the Package Dropdown box in 'Work Orders' when you add a work order to your customer records. 

    Packages also track commission and (when driven by PHP code), will appear on your order form as well. 

     

    1. From your FastGem home screen, go to Site MGMT>Packages on the menu bar. (Depending on your instance customization, the "Packages" menu item may be in a different place for you.)

    2. From the 'Packages' page, click on the 'Add Item' Icon.

    3. The 'Label' field should contain the name of the package (e.g. AT&T Entertainment). We recommend making each package label within your instance unique.  The 'Cost' field should contain the cost of that particular package.

    Setting 'Commission-Based Package' to YES allows commissions and business commissions to be calculated for and tied to this package. 

    Setting 'Selectable Package' to YES allows this package to appear for selection when creating a work order, and to appear in your forms. 

    As an Example, we are adding the AT&T TV package, 'Entertainment', which comes with 65+ channels, and the cost of that package is $59.99/month. So, in the 'Label' field, we will put 'AT&T TV ENTERTAINMENT'. In the 'Description' field, we will type '65+ Channels', and in the 'Cost' field, we will type '59.99'. (No dollar sign will be needed, as FastGem auto-populates the currency symbol for you.)

    4. In the dropdown box labeled 'Provider' we will select AT&T TV.  (If you do not see the Provider you need, please see the help article 'Creating and Restricting by Provider' or contact a supervisor or FastGem support).

    5. In the 'Category' field, add what service this falls under, e.g., for internet packages, add 'Internet'

    (NOTE: You can also add 'SP Component Codes' to merge other packages if there are duplicates from SaraPlus integrations. Reach out to This email address is being protected from spambots. You need JavaScript enabled to view it. for questions on this feature. 

    NOTE: You can also add a 'Score' or points for packages if you pay reps by how many points or the score is for that package. Reach out to This email address is being protected from spambots. You need JavaScript enabled to view it. for questions on this feature.)

    You can also set up flat fees for each rep (not recommended if commissions differ per rep) or tech who sells/installs this package, or set holdbacks and a standard commission plan for this package by selecting 'Yes' in the 'Commission Based Package' dropdown. (Please note that flat fees only go into effect if the package is set as a Commission Based Package.') After selecting 'Yes' in the 'Commission Based Package' dropdown, you will also have the option to input expected Biz Pay (what your company is to expect from the Provider) for this package. You can always go back and edit these details later if you need to. (Please see the help article "Editing Rep & Package Commission Details" for more information on adding commission plans for packages. Keep in mind that payplans and manually entered user/rep commissions override package commission configurations for reps/techs). 

     

     

    6. Click 'Save' when you are finished. The package is now available among all packages. You can now assign this package to a work order.

     

     NOTE: You can mass upload/update packages into FastGem instead of adding them one-by one. For more instructions, see THIS article. 

    (NOTE: FOR INSTANCES USING ORDER FORMS: If your order forms are driven by PHP code and are already set up for the provider you are adding a package for, you can select 'Yes' in the 'Selectable package' dropdown box, if you'd like for this package to display on your order form (and in dropdowns) as an option. If your order forms are driven by PHP code but are NOT yet set up for the applicable provider, select 'Yes' in the 'Selectable package' dropdown box and then see the help article 'Adding New PHP Providers to Order Form' for instructions on how to add the provider to the form. If your order form is not driven by PHP code, see the help article 'Adding Provider/Package to Order Form for Non PHP Forms' if you'd like for this package to display on your order form.)

    NOTE: A new feature allows your rep and business commissions to be automatically multiplied by the number of boxes or the number of lines sold. For more information, please see the help article "Multiplying Commissions by Number of Boxes or Lines Sold."

  • Adding New PHP Providers to Order Form

    IF YOU HAVE ADDED A  NEW PROVIDER TO YOUR FASTGEM INSTANCE AND YOU WISH THIS PROVIDER TO APPEAR IN YOUR ORDER FORM(S), FOLLOW THESE INSTRUCTIONS.

    YOU WILL NEED TO BE LOGGED IN TO BACK END FASTGEM TO PROCEED. 

    *THE EXAMPLE ORDER FORM USED IN THIS DOCUMENTATION MAY APPEAR SLIGHTLY DIFFERENT FROM YOURS, DEPENDING ON WHAT OPTIONS YOU HAVE AVAILABLE ON YOUR FORM. 

     

    IF YOU DO NOT HAVE THE APPLICABLE PROVIDER CONFIGURED INTO FASTGEM, PLEASE SEE THE HELP ARTICLE 'CREATING AND RESTRICTING BY PROVIDER,' AND FOLLOW THE STEPS IN THE 'CREATING NEW PROVIDERS' SECTION BEFORE CONTINUING:

    1. Once you are logged in to ADMIN FastGem, click on 'Form Management' 
    2. Click on the Service Order Form that you are currently needing to add the package details to. 
    3. Scroll to the box for a provider who is already configured correctly on your order form. For example, the box that says 'DirecTV Spanish Packages'. Click the checkbox in the top right hand corner of that box. 
    4. At the top of the screen, click 'Duplicate.' 
    5. Scroll to the bottom of the screen directly above the section titled 'HIDDEN FIELDS' and find the duplicated box. 
    6. Click and drag the box & place it directly below the original box that you copied. 
    7. Click the 'Edit' button at the bottom right of the duplicated box. 
    8. Change the 'Name Field' and 'Caption' field to reflect the proper name of the service provider as entered in FastGem's Provider list (Content Types page). (Note that you may need to change the 'Name' field to not include spaces, in order for information to transfer to Submission Data in front end).

    In the 'Items' Field, scroll to the text that says "DirecTV Spanish" (or the name of whatever Provider it is that you duplicated) and change it to reflect the proper name of the Provider you are configuring now, as listed in FastGem's Provider list (content types page). Then, Click 'Save.' 

    Note that if you wish this provider to be tied to conditional fields, you will need to configure those as well for this new provider. For instructions on configuring conditional fields, please see help article 'How Conditional Fields Work.' 

    Note that if you wish the packages associated with the new provider you added to appear in the Submission Data after the form is selected, you will need to ensure that the field name (the field name associated with the Provider you just added to the form) appears in the Input Vals column of the Submission Data Layout list. You may need to add a new row to the Submission Data Layout list specifically for this provider. You can access the Submission Data Layout list by heading to Config>Submission Data tab, and clicking to edit the Submission Data Layout List. More detailed information on the Submission Data Layout List can be found in the help article 'Problem: Information Not Transferring from Form to Submission Data.'

    Note that if you wish the order form you are creating to create a work order as well as a person record when it is submitted, you will need to edit the PHP Provider fields in your form. For more information on how to do this, please see help article 'How to Make an Order Form Create a Work Order Record as well as a Submission Record.'(Access to this help article is restricted.   • Adding Provider/Package to Order Form for non PHP forms.

    **You will need to be logged in to the ADMIN section of FastGem to proceed. This help topic is created ONLY for forms who do not use PHP code for packages. 

     

    1. From the home screen of back end FastGem, click on 'Form Management'. 
    2. Click on the Service order Form you are currently needing to edit. 
    3. Scroll to the box labeled 'which_services' or similar, and click the 'Edit' button in the bottom right hand corner of the box. 
    4. Add the new package or provider name to the list in the field provided. Click Save. 
    5. Scroll to the top of the page & click 'Save.' Then, Click on 'Preview' to see a preview of the changes you made. Click 'Save & Close' when you are finished. 
  • Assigning Tasks to Individual Users in FastGem

    You can assign tasks to other users in FastGem, and tie them to specific customer records as well. 

    Note: If you would like users or lead reps to receive email reminders of their tasks, ask Support and we will gladly help you set those up. 

    From the Leads, Customers, Accounts/Properties, or Work Order 'List' view, click on the 'Book' (Action Log) icon. 

           

     
    You can also access the 'Create Task' feature by entering a person's record, a property record, or work order record and clicking on 'Actions.' 

     

    Click on 'Create Task'. Select a User from the dropdown provided, set a due date, and type in the task description. Click 'Save.'

    If this is assigned from the Work Order or Submission page, it will automatically be tied to that order as well as the person. 

    The task will show up when the assigned user logs in and clicks 'My Tasks' or when an Internal User clicks 'Rep Tasks' (This may be called something different in your instance).

    An alert will also appear for the user assigned the task letting them know they have a task to complete. You can decide whether you want the alert to show immediately, or only once the due date for the task has arrived (This can be configured in the Admin portal of your instance by going to Config> Content Types > Tasks. If you need help, just let FastGem Support know).

     

    They can then click on the MY TASKS (it's a hyperlink) and it will take them directly to the MY TASKS list view to view assigned tasks.

    NEW: When a task's due date has arrived, you will see due tasks listed on your homepage beneath the logout button, with an option to complete or to 'Snooze' a task for a day as well: 

     

    Once a task is complete, the assigned user or an internal user can change the status to reflect.

    Task records will appear in applicable Action Logs, as well.

     

     FOR INTERNAL USERS:

    Internal users can click on the 'Tasks' menu item and 'Task Management' to edit/assign Tasks in FastGem as well.

                 

     

    From this page: 

    Click to edit or view an existing task, or click on 'Add item' To Create a New task. Make selections in the User Dropdowns, select a due date, status, etc. You have the option to attach this task to a customer record or Work Order as well. 

     

     

     

  • Attaching PDF of Submitted Forms to Emails

    A PDF of submitted forms to FastGem can be e-mailed to instance users and/or to the person who submitted the form (e.g. the Lead). 

     ***YOU MUST BE AN INTERNAL USER WITH ACCESS ADMIN AND ACCESS FORM MANAGEMENT PERMISSIONS IN ORDER TO COMPLETE THE FOLLOWING STEPS.

     

    There are two options for how to do this. Option 1, which is the easiest and the one you should use in most circumstances, is as follows: 

     

    Option 1 (auto-generate the code using Directories): 

    From the Form Management page, click Manage Directories on the left: 

     

    Then click on the Form you are working with.The 'General' tab on the left should look like this: 

    Next, click on 'Fields' on the left. In the 'Fields' tab, you will see a list of the form field names currently published in your form. In the 'Show in Details' column, you can select the checkbox for the details that you want. (Do not include hidden fields.) These are the fields that will appear when the record of the signed/submitted form is accessed in front end. Make sure the fields you select are in the order they appear on the form; you can move them around if they are in the wrong order. 

     

    Next, click on the 'Details Layout' tab on the left.

    The Details Layout tab should look like this (Auto Generate Layout should be 'YES' and '2 Lines' should be selected above): 

     

    Click Save to save the Directory, then go back to the 'Details Layout' tab and copy the code that is there: 

     

    Save & Close the Directory. 

    Navigate back to Form Management>the form you are working on> Form Properties> click on either the Admin or User emails tabs (or do this for both Admin and User emails). In the PDF Attachment section, make sure 'Attach to Admin/User email' is set to 'YES.' Delete any code there is in the 'PDF Layout (HTML)' field and paste in the code you copied from the Details Layout tab in Directories (step S above):

     

    Don't forget to make sure the admin/user emails are going to the correct people, and that the bodies of these emails are configured appropriately. If necessary, you can paste the same code you just pasted into the PDF Layout field, into the actual email body when editing the email text. However, when doing so, make sure you are editing the 'Code' of the email: 

    Save & Close your form. 

     

    To Test: 

     

    Submit a test form and view e-mail and PDF attachment. 

     

     

     

    Option 2 (manually build the code yourself): 

    Admin>Form Management

     

    Click on the order form you want e-mailed. ('Checkbox Order Form' used as an example for this article)

    Click on 'Form Properties.' 

     

    Click on 'Admin Emails', 'User Emails,' or 'Additional Emails' in the left margin's menu. 

     

    Fill out each field as necessary. Leaving a section blank is fine if it's not needed.

     

    In the 'Contents' section:

    Type whatever you want the subject line of the emailed form to read.

    Toggle The E-mail mode to 'HTML' 

    Click on 'Edit the Email Text' and customize to your liking. You can use the 'toggle quick add' button at the top of your page to access dynamic text fields corresponding to the fields in your form. Copy any of these you wish and paste them into the email body. Click 'Save' to save changes. 

     

     

     

    Click on the 'Code' tab' once you've saved your changes.  

    Copy the code shown . Click 'Save and Close.'

     

    In the PDF Attachment section, paste the copied text into the 'PDF Layout HTML' box provided. (See below.)

    Toggle 'Attach to Admin (or User) Email' to 'Yes.'

     

    Click on 'Save & Close.' Changes are now implemented in FastGem and your e-mails. 

     

    To Test: 

     

    Submit a test form and view e-mail and PDF attachment. 

     

     

     

  • Bulletin Board/Info Board Feature

    Check out important announcements within your instance by navigating to the Bulletin Board (This may be called something slightly different such as 'Info Board,' and/or be located in a different place, depending on your instance's customization):

     

     

    Articles and announcements can be accessed from the Bulletin Board by clicking on their titles.

     

     

     

     

    FOR ARTICLE EDITORS ONLY:

     

    If you have 'Article Editor' permissions, then you will see the option to edit these Bulletin Board entries, or to create new ones. To create a new entry on the Bulletin Board, click the 'New' button.

  • Changing How Field Captions Appear beside/above Field Content

    You can change where the field descriptor appears for the fields in your form:

    To change this, navigate to the Form Properties pages of your form in the Admin portal (backend) of your instance, and then select the Form Layout page. From there, use the 'Layout Flow' dropdown to select whether you would like your descriptoer/caption to appear above or beside your field content:

  • Customize Text Message and Email Body when Sending Customer Forms

    If you are using the blue button(s) shown below to send a customer a CV form, LOA form, or other customer form to fill out: 

     

     

    ...and you want to customize what the text message and email to the customer will say for each specific customer form, follow these steps: 

     

    Login to the Admin portal (back end) of your instance, Click on Menu>hidden. 

     

    Select the menu item that corresponds to the form with the text message/email you wish to edit. In the Details tab of that menu item, find the 'Notes' field (lower right corner of screen), and enter the body of the text/email you wish to be sent to the customer along with the form (if no text is entered here, the text/email sent to the customer will be the standard customer form verbage): 

     

     

    Save and Close.

  • Dark/Light Mode in FastGem

    You can now easily switch between dark and light modes in FastGem to avoid eye strain!

    When first logging into FastGem you will see a pop-up option on your home screen inviting you to test out Dark Mode: 

    From this pop up you can toggle between dark mode and light mode in FastGem.  

    Just press the 'Got it!' button to dismiss the pop up. 

    You can also switch between dark and light mode in FastGem by clicking the small 'gear' icon in the bottom right corner of your Home screen: 

     

    Note that this Gear icon will change to a Crescent Moon icon when Dark Mode is enabled: 

     

    You can also switch between dark and light mode from your Profile. Go to HR > My Profile, and click the Edit option in the top right corner: 

     

     

    Then, toggle dark mode on/off from within  your profile: 

     

    Remember to click Submit at the bottom of your profile when finished!

    9. Deletion E-mails - Set up a deletion email to be sent when a submission is deleted

  • Definitions of standard Form Fields

    Please note: once a form field type has been selected, you cannot change the field type (e.g., change a field from a 'Dropdown' to a 'Radio Group') later on. 

    1. Textbox- One line text only field
    2. Text Area- Multiple line text area field (Notes section, etc) 
    3. Dropdown- A field that can be labeled with dropdown options for customer to choose from. Multiple selections can be made, if so configured.
    4. Checkbox Group-A field that can be labeled with multiple checkbox selections for customer to choose from. Multiple selections can be made, if so configured.
    5. Radio Group- A field that can be labeled with selections for customer to choose from by clicking into the correct bubble/circle. No more than one selection can be made. 
    6. Submit Button-  Adds a button for the customer to submit the form into FastGem
    7. Password- Adds a password field on the order form 
    8. File Upload- Inserts a field for customer to upload a file from their computer into the order form. 
    9. Free Text- Allows you to insert any type of text that will be visible to the customer on the order form.
    10. Calendar- Inserts a calendar option into your order form.
    11. Date/Time Picker- Gives customer the option to pick a date/time for whatever caption/reason you choose.
    12. Button-Inserts a new button field for any reason you may need it for.
    13. Captcha/Antispam- Inserts a security feature that keeps your order form from being spammed which requires customer to pass a captcha to prove they're not a bot. 
    14. Hidden Field- Fields that exist, but are not visible to the person filling out the order form, but are necessary to make up the order form.
    15. Support Ticket- Inserts a Unique ID 
    16. Pagebreak- Adds a break in the page so you can make a new section for the form.
    17. Birthday Field-Inserts a date of birth option for the customer to fill out on the form.
    18. Google Map - Inserts a GoogleMap into the form for customer to utilize for whatever reason you specify.
    19. Range Slider-Inserts a range scale from 0-100 for whatever reason you specify for the customer to select from.
    20. Signature Field- Inserts a field for the customer to draw out their signature to submit with their order form.
    21. Recaptcha v2- Another CAPTCHA option to insert into your form
    22. Single Product- Gives the single price option for you to insert on the form
    23. Multiple Products- Allows customer to choose from multiple products/prices
    24. Donation- Inserts a field on your order form that gives customer the option to add a donation
    25. Discount- Inserts a field to include a price discount
    26. Total- Shows the total amount due on order form
    27. Choose Payment-  Lists payment methods
    28. Payment(Paypal)-  Inserts option to pay via PAYPAL
  • Editing the Form Heading

    1. Login to Back end (ADMIN) FastGem. 
    2. Click on the FastGem 'Diamond' icon in your top left corner of the screen. 
    3. Select the 'Form Management' option. 
    4. Select the form that you are wanting to edit. (Usually the service order form) 
    5. Scroll to the top 'Intro' box & Click on 'Edit' 
    6. Erase the 'NAME OF FORM' (It may say something different on your form) and type in what you want the name of your order form to be (i.e. 'Service order Form') 
    7. Repeat step 6 in the COMPANY NAME/PHONE NUMBER section. Click the 'Save' 
    8. Click the green 'Save' icon to save the changes you've made. Click the 'Preview' button to view the order form as it will appear to the customer. Click 'Save & Close' if you are all done.

  • Hiding Select Data from Submission Data in Customer Record

    When a form is submitted, if sensistive data such as a checking account number, routing number, SSN, etc is showing up in the 'Submission Data' section of a customer's record as in the example image below...

     

    ...then you just need to change the Submission Data field type for that form field from a 'Form' type into a 'DB' type.

    Head to the Admin Portal (back end) of your instance (add /a to the end of your instance URL to get to your Admin Portal), and click Config: 

     

    Next, navigate to the Submission Data tab and click on the Person Data Layout 'Click Here to Edit' button: 

     

    Scroll down the Person Data Layout list until you find the form field that is appearing in Submisson Data but should not be. It will probably be set to a 'FORM' type. Change this type to 'DB': 

     

    Click Done at the bottom of the Person Data Layout list, then click Save to save your configuration changes. You can submit a test form to double-check that the applicable data is no longer showing in a person's Submission Data. 

  • How Conditional Fields Work

    Conditional Fields help an option appear on your order form under special conditions. (I.E. If you click 'Here', 'This' will pop up) As a example, we are using DirecTV TV packages, and setting them to show up ONLY when the DirecTv services are chosen on the order form. Once you've added the options and fields you want, follow the steps below to control when they appear. 

     

    1. Login in to Backend FastGem (ADMIN). Click on 'Form Management'
    2. Click on the form you want to edit and add the conditions to (As an example, we used Service Order Form) 
    3. Click on 'Form Properties'. Then, Click on 'Conditional Fields'.
    4. Click on the blue,  'New Condition' icon towards the top of your screen.
    5. In the dropdown field labeled 'Intro', select the name of the field you want to show under the condition you're creating. 
    6. Click on the blue 'Plus sign' icon. 
    7. Change the dropdown boxes to exactly what you want the condition to match. (In this case, we want the customer to see DirectV tv packages only when they select 'DirecTV' under the Which Services portion of the form.)
    8. Click the green 'Save & Close' button once you are done creating new conditions. 
    9. Click 'Save&Close' to finish up on the Form page. 

    You can of course make conditional fields fit your needs by choosing 'Hide' instead of 'Show' as the action to be taken, and/or by choosing 'Any' instead of 'All', 'is not' instead of 'is,' as parameters, etc. 

  • How to Make a Form take users back to a Blank Form after Submission

    In the Admin Portal (backend) of your instance, Navigate to Form Management:

     

    Click to enter the form you wish to edit. In the Form Properties Pages, navigate to Form Info: 

     

     

    In the Thank You Message section, toggle 'Show Thank You Message' to YES. Make sure the 'Show Continue Button' is set to YES. Edit Thank-You Message as desired. In the Submission section, make sure there is no link in the 'Return URL' field. 

     

    Remember to Save your changes!

    With these settings, after the submission of the form, on the page with the thank-you message, you should see a 'Continue' button. Upon clicking the 'Continue' button, you will be taken back to the same form link you started from.

  • How to Remove Language Flags from Form

    If your form includes language flags you wish to remove:

     

     

    Navigate to the Admin pages (backend) of your instance, then to Form Management, and click to edit the applicable form. Next, click to Edit the 'Intro' field. Click the HTML tab. Delete the flags from the top right corner. 

     

    Save & Close. 

  • How to Set Up Form Notifications (Admin E-mails)

    1. Login to ADMIN FastGem. Click on 'FORM MANAGEMENT'. 
    2. Click on the form that you are wanting to receive e-mail notifications for. (As an example- we will use the 'Service Order Form') 
    3. Click on 'Form Properties'. 
    4. Click on 'ADMIN EMAILS' in the left hand margin.
    5. Scroll to the 'TO' field under 'Recipient' Type in the user e-mail that you are wanting to receive the notifications at. 
    6. In the 'Contents' section, type in the desired subject. Click 'Edit the Email Text' to control the information presented in the body of the email. You can use the 'Toggle Quick Add' button at the top of the 'Admin Emails' screen to expand a list of values from the form. Copy any of these values you wish, and paste them into the body of the email after clicking 'Edit the Email Text.' 
    7. Click on the green 'Save' button at the top left of the screen.
    8. You can submit a test submission of the form you've edited to make sure everything is working properly. All done.
