     ***Please note: depending on instance customization, your Customer, Work Order, and other list view pages may be located in different places, and named different things. Please contact a supervisor or FastGem support if you have difficulty finding the correct pages. 

    ***NOTE: THE FOLLOWING ARTICLE FOCUSES ON CUSTOMER AND WORK ORDER ACTION LOGS. KEEP IN MIND THAT ACTION LOGS EXIST FOR OTHER TYPES OF RECORDS, TOO, SUCH AS INVOICE RECORDS, PAYMENT RECORDS, REP/TECH PROFILE RECORDS, ETC., ETC. CUSTOMER AND WORK ORDER ACTION LOGS ARE USED AS EXAMPLES IN THE FOLLOWING ARTICLE BECAUSE THEY ARE THE MOST COMMONLY UTILIZED.

    Accessing Action Logs

    *Note: The Action Log data available for users to view differs depending on user permissions. Customer information is restricted to protect privacy/security. 

     Accessing Action Logs from Rep's Sales Page or Techs' 'Installations/Appointments' page:

     

     

     

    Accessing From List View: Navigate to Orders>Customers>Action Log (black book) Icon: 

     

    Or, Orders>Customers>Eyeball Icon>Action Logs slider:

     **You can also view/edit/utilize action logs from other list views by navigating to Orders>Work Orders or Orders>Leads and following the same steps as you would in 'Customers/People'. 

    NOTE: Some list views may have what appear to be two or more Action Log 'books' beside each other:

    This occurs when the Action Logs are 'split.' The 'books' in the 'S' column are the action logs pertaining to the customer, or 'submission.' The 'books' in the 'WO' column are the action logs pertaining to the specific work order. The regular black 'books' are the action logs for that customer and work order combined. 

    Accessing from within a Customer or Work Order record:

     

    Manually Entering New Actions into Action Logs

     *Note: Your customer's record must have been saved before you can manually enter an action in the Action Logs. 

    • Type in to search or scroll and select the 'Action Log Type' (i.e. Note, Inbound Call, Outbound, etc.):
    • Type in whatever notes you need to regarding the subject matter. Click save. The notes will permanently save in the action log 
    • Always be sure to 'Save' or 'Save & Close' your work before exiting the 'Edit' view. 

     

     

    Striking Actions from the Log:

    You can manually strike records from the Action Logs, if the option to do so is enabled in Admin (back end).

    • To strike an entry from an action log, click 'View All Actions (For this Record)' at the bottom of the log list (highlighted in yellow below):
    • Strikeable Action Log entries will have a check box beside them in the 'Strike' column:
    • Once the box is checked, the action is 'struck' from the record (but will still be visible as a stricken action to users with Admin permissions).
    • To 'unstrike' an action, simply click the X in the 'Strike' column. 

     

     

    Adding Templates to certain Action Log Types: 

    It is now possible to add a pre-configured template (questions to be answered, etc.) to different log types. To configure your log templates, login to the Admin portal/backend of your instance (this can be reached by adding /a to the end of your instance URL. For example, the admin portal of our demo instance can be reached at demo.fastgem.net/a ). Next, click on Config from the main Admin menu:

     

    From within Config, click on the Quality Control tab: 

     

    Scroll down the page until you reach the list of Action Log Types (IMPORTANT: DO NOT DELETE ANY LOG TYPES FROM THIS LIST). For each log type, there is the option to add questions/labels into a 'Template': 

     

    Once you've added the desired text to your log template, make sure you Save the configuration page. In the front end, when  you select the log type from the Type dropdown, your template will load into the log text box: 

     

     

    **Communication tools also exist within the Actions section. For more information on communication via Actions, please see help articles "Sending a Text Message to a Customer/Lead Manually from FastGem" and "Messaging a User/Group in FastGem, and Receiving/Replying to Messages." When a customer responds to a text message sent from Actions, it will also appear in the QC log (Quality Control tab)

     

    **To configure permissions, texting templates, and action types/labels for the Action Log, you must have administrative permissions. Login to back end (ADMIN) FastGem, go to Config>Quality Control to add/remove/edit action types, to control who can see what types of actions in the logs, and to define which log types are strikeable.Go to Config>Twilio to edit texting templates. 

     

     

     

     

  • Accessing and Completing Your Assigned Tasks in FastGem

    If you've been assigned a Task by a FastGem user and the due date for that task has arrived or is past due, then the next time you log into your FastGem instance, you will see a pink bar near the top of your screen, alerting you that you have unfinished tasks. 

    To access your assigned Tasks, you can click directly on the 'My Tasks' hyperlink in the red bar, or you can hover over 'QC' and click 'My Tasks' from the menu bar (This may be in a slightly different place depending on your instance's customization). 

    Once you have accessed your 'My Tasks' page, you can view the details of the tasks you have assigned to you, with any notes from the assigner displayed for your reference. To see more details, you can click on the Action logs, click on the Task Description, or click on the 'eyeball' icon, or you can add notes/edit the task using the 'pen and pad' Edit icon. 

     

     

    Once you have completed the task, you can change the Task Status using the status dropdown from the list view, or change the Task Status from within the task record. 

     

     

     

     

     

    Once you have marked the task complete, it will appear in the applicable Action Logs.

  • Accessing Projected Payroll and Finalized Payroll Records from within Work Order and/or Submission Records

    IBOs and Internal Users with 'Can View Payroll Projection' permissions can now view projected pay as well as finalized pay for work orders from within work order records as well as from within submission records. Of course, when accessing projected and/or finalized payroll, non-internal users with the 'Can View Payroll Projection' permission will only be able to see the payroll records pertaining to themselves and those below them in their team.  

     

    To access Projected/Finalized Payroll from within a work order record: 

    Navigate to Orders>Appointments/Work Orders (this may be called something different or be located in a different place depending on your instance's customization), open a specific  work order, and expand the 'Payroll' tab on the right hand slider menu. 

     

    You will see the pay projected for this work order for those users you have permissions to view. 

    This will show as long as there is a package and rep/tech assigned to the work order, and the work order has not been finalized in Snapshot Payroll yet. If it has been finalized, then instead of this projection, you will see a 'view payroll' button where you can view the payroll(s) associated with this work order. 

     

    If for some reason only some of the payroll payments associated with this work order have been finalized, you will see both a 'view payroll' button and a payroll projection. 

     

     

    To access Projected/Finalized Payroll from within a customer record: 

    Navigate to Orders>Customers or Orders>Leads (this may be called something different or be located in a different place depending on your instance's customization), open a submission record, and expand the 'Work Orders' tab on the right hand slider menu. 

     

     

     

    From within this section, find the work order you wish to see payroll/projected payroll for, expand if necessary, and scroll down beneath the work order details until you see 'Payroll Projection':

  • Adding and Choosing Cancelled Reasons for Cancelled Orders

    If you would like to be able to choose reasons for cancellation when a work order is set to a Cancelled status, follow these instructions (this help article has two sections. Section 1 covers how to set up cancellation reasons in the Admin portal, while Section 2 covers how to select a cancelled reason in front end FastGem and reports based off cancellation reasons): 

     

    Setting up Cancellation Reasons in the Admin Portal:

    Note: If you are a user with 'Configuration User' permissions in your instance, you will be able to access the Configuration and Content Types section from front-end by going to SITE MGMT > Config:

     

    If you are not a user with Configuration User permissions, follow the instructions below to access Config > Content types:  

     

    Login to the Admin portal (backend) of your instance. This can be reached by adding /a to the end of your instance URL. For example, the link to the admin portal for our demo instance is demo.fastgem.net/a

    Once you are in the Admin portal (backend), click 'Config' from the main menu: 

     

    The 'Content Types' tab is the first tab on the upper horizontal menu on the following page. 

     

    Click to open the WORK ORDERS section, then find the 'Cancelled Reason' editor and click to edit: 

     

    Use the green buttons to add a new reason, the red buttons to delete reasons from the list, and the three vertical dots on the left to arrange the order of the reasons in your list: 

     

    Click 'Done' when you are finished, and remember to click 'Save' before leaving the admin portal! 

    After cancellation reasons have been added as above, the cancelled reason dropdown should appear when you set a work order to a cancelled status, as exemplified below. If the dropdown does not appear, you likely have a custom Grid formatted for your Work Orders pages, and you will need to contact FastGem Support so that we can re-save the Grid with the new cancelled dropdown feature. 

     

    Selecting a Cancelled Reason in frontend FastGem: 

    When setting an order to Cancelled Status, assuming that different Cancellation Reasons have been set up for your instance, a dropdown with these reasons listed should appear for you to choose from. Below are examples of where this dropdown appears when changing a work order's status to cancelled from the Work Order record or from within the Person Record:

  • Adding Notes to Customer Records (for Processors/QC to See)

    ***For Techs adding notes, the view will be very similar to below. However, instead of going to your 'Rep Sales' tab, you will go to your 'Installations' tab under Techs> Installations (name may differ for your instance).  

    1. Log in to FastGem & click on your 'Customers' (AKA 'Rep Sales> Sales Snapshot') tab. 

    2. Scroll to find the customer you need to send information on. 

    3. Click in the white 'Notes' field & type the information you need to send to the processing team. 

    4. Click 'Save'. Once the message is sent, you will see the word 'Success' in the white notes field, indicating that the message was successful in being delivered to your company's Processors.

  • Allowing Reps to View/Add WOs to Other Rep's Customers/Leads

    To prevent the creation of duplicate person records, FastGem can allow sales reps to view and add work orders to existing person records, even if those existing person records are already assigned to another rep. If you would like this feature turned on for your instance, please contact FastGem Support. 

    HOW IT WORKS: 

    A rep entering contact information for a new lead will see a notification of a possible duplicate record in the system, if entering information the system recognizes as pre-existing. Reps can then click directly on the name of the possible duplicate:

     

    In another tab, the existing person record will open. Reps can view but not edit the existing person record, assuming it is not assigned to them or someone in their downline. Reps can click 'Add Work Order' on the existing person record to create a new work order:

     
     
    When creating the work order, reps must make sure they select themselves from the Rep dropdown
     
     
     
    After creation, reps can Save&Close the new work order. That work order will then be accessible for the rep to view (and edit, if they have editing permissions) in their work orders list, but the person record will still be inaccessible to them:

  • Assigning a Task to Entire Department

    Instead of assigning a task to an individual rep/user, you can assign a task to an entire department. So, when you assign the task, everyone assigned to the department you've selected will receive a notification that the task needs to be completed on the due date, and that task will appear in their 'My Tasks' list. 

    If you would like users or lead reps to receive email reminders of their tasks, ask Support and we will gladly help you set those up. 

     

    Assigning from List View/Action Logs: 

    From Customers or Work Orders Tab List View, click on the 'Action Log' icon (Black book icon) 

     

     

    Next, click on 'Create Task.'

     

     Assigning from Person Record/Action Logs: 

    From Customer/Work Orders Tab 'Edit' View, click on 'Actions' in the right hand expandable menu. 

     

     

    Click on 'Create Task.' 

     

    3. Fill out the necessary fields (as applicable), and select a department in the department dropdown selection. 

     

    Any user/rep who is assigned to the selected department will have access to the task, and will receive a notification that this task needs to be completed. You can decide whether you want the alert to show immediately, or only once the due date for the task has arrived (This can be configured in the Admin portal of your instance by going to Config> Content Types > Tasks. If you need help, just let FastGem Support know).

     

     

  • Assigning Tasks to Individual Users in FastGem

    You can assign tasks to other users in FastGem, and tie them to specific customer records as well. 

    Note: If you would like users or lead reps to receive email reminders of their tasks, ask Support and we will gladly help you set those up. 

    From the Leads, Customers, Accounts/Properties, or Work Order 'List' view, click on the 'Book' (Action Log) icon. 

           

     
    You can also access the 'Create Task' feature by entering a person's record, a property record, or work order record and clicking on 'Actions.' 

     

    Click on 'Create Task'. Select a User from the dropdown provided, set a due date, and type in the task description. Click 'Save.'

    If this is assigned from the Work Order or Submission page, it will automatically be tied to that order as well as the person. 

    The task will show up when the assigned user logs in and clicks 'My Tasks' or when an Internal User clicks 'Rep Tasks' (This may be called something different in your instance).

    An alert will also appear for the user assigned the task letting them know they have a task to complete. You can decide whether you want the alert to show immediately, or only once the due date for the task has arrived (This can be configured in the Admin portal of your instance by going to Config> Content Types > Tasks. If you need help, just let FastGem Support know).

     

    They can then click on the MY TASKS (it's a hyperlink) and it will take them directly to the MY TASKS list view to view assigned tasks.

    NEW: When a task's due date has arrived, you will see due tasks listed on your homepage beneath the logout button, with an option to complete or to 'Snooze' a task for a day as well: 

     

    Once a task is complete, the assigned user or an internal user can change the status to reflect.

    Task records will appear in applicable Action Logs, as well.

     

     FOR INTERNAL USERS:

    Internal users can click on the 'Tasks' menu item and 'Task Management' to edit/assign Tasks in FastGem as well.

                 

     

    From this page: 

    Click to edit or view an existing task, or click on 'Add item' To Create a New task. Make selections in the User Dropdowns, select a due date, status, etc. You have the option to attach this task to a customer record or Work Order as well. 

     

     

     

  • Attaching a photo to a WO and/or Customer record

    From the Technician Installations (Work Order) list view: 

     

     

    From a Rep Sales Snapshot list view: 

     

     

    From the Person Record: 

     

     

    From the WO record: 

     

     

    NOTE: If you add a photo to the Work Order record, it will appear when accessing the Customer record. However, you cannot Delete it from the Customer record; you must delete a picture that was added via a WO record, from the WO record.

  • Blacklisting Customer Records

    BLACKLISTING:

    If you want to prevent a person's record from being processed for any reason, simply toggle 'Blacklist' to YES at the bottom of their customer record in Edit mode and click Save: 

     

    If you do not see the Blacklist toggle as an option, contact FastGem support and we can add it for you. 

     

    UNDOING BLACKLIST STATUS:

    Once a customer is blacklisted, they can no longer be accessed in front end. In order to undo their blacklist status, an Admin must log into the Admin portal (backend) of your instance. Your Admin portal can be reached by adding /a to the end of your instance home page address. For example, the Admin portal address of our Demo instance is: demo.fastgem.net/a

    Once logged into the Admin Portal, click on 'Persons' in the main Admin menu (Note: 'Persons' may be called 'Submissions' instead, in older instances): 

    In your Persons list, click the name of the person you wish to un-blacklist to enter their record (you can use the search tools to filter your person records just like you would in front-end FastGem). 

    Once in your blacklisted person's record in backend, toggle Blacklist to NO and Save&Close the record. 

     

    You should now be able to access the person's record in front end FastGem as normal.

    FOR ARTICLE EDITORS ONLY:

     

    If you have 'Article Editor' permissions, then you will see the option to edit these Bulletin Board entries, or to create new ones. To create a new entry on the Bulletin Board, click the 'New' button. 

     

     

    Enter your chosen Title and Text:

  • BundleDealer Service Availability Checker: Address Verification Tool

    With FastGem's Address Verification tool, you can quickly check the service availability for a lead or customer's address with the click of a button! Ask FastGem support to turn this feature on for you if you are interested. 

    NOTE: You must have a BundleDealer account in order for this tool to be enabled. If you do not have a BundleDealer account but you have a SaraPlus account instead, see THIS article. 

    How it works: 

    While in Edit mode in a person record, ensure you have correctly entered the person's address, and then look for an 'Offers' button next to the customer's zip code field: 

     

     

    Clicking on this 'Offers' button will open a new tab, wherein you can see details on all available provider offers for this address: 

     

    You can also use the Filter on the right of the screen to limit your results: 

  • Canvas 'My Profile': Set Password, Preferences, etc.

    The following article assumes you have logged into FastGem Canvas successfully. If you would like instructions on logging into FastGem Canvas for the first time, see THIS article. 

    From your Profile pages, you can set/re-set your password, edit your account information, select your FastGem instance (or switch between chosen instances), and set your notification preferences. 

     

    To access 'My Profile', click the Menu icon (three horizontal lines) in the upper left corner of your page, then click 'My Profile' at the bottom of the page, highlighted below: 

     

     

     

     From within your Profile page, you can review your Account Information, edit your information, and change/set your password: 

     

    From within your 'My Notifactions' tab, you can specify when and how you would like to receive notifications and reminders from FastGem Canvas (email, text, push, and/or in-app): 

     

    From the 'FastGem Instances' tab, you can view all instances you have connected to, add a new instance, and switch between instances (this is only applicable if you use more than one FastGem instance (rare): 

  • Canvas Appointments/Calendar

     To access your Canvas Calendar, click 'Calendar' at the bottom of your screen. From your calendar page, you can create a new event (aka appointment) at the top of the screen. By clicking on individual events/appointments in the calendar, you can edit previously created events, set reminders for your events, and cancel, complete, or delete events: 

     

     

    The Calendar view defaults to a Monthly view, but you can change how you would like to view your calendar events with the buttons shown below: 

     

    You can also create Events/Appointments for specific addresses from within your Map page by clicking to open a particular address. More details HERE

    You can also create Events/Appointments for specific Accounts by clicking to open that Account. More details HERE

     

    Reminders for Appointments/Events will be determined by your preferred communication method(s) selected in My Profile. The Notification bell in the upper right corner of your Canvas screen will alert you to upcoming appointments/events unless you have disabled these reminders in your Profile: 

     

     

  • Canvas Dashboard

    Once you have logged into FastGem canvas, your Home Page Dashboard will show you basic reporting analytics and allow you to view and manage tasks, events, areas, etc. You can access the Dashboard at any time by clicking the 'Home' icon at the bottom of your screen, highlighted below: 

     

    Within the Dashboard, you can review team activity, view/edit/complete today's tasks, view/edit/reshcedule/complete today's events, click on an option in the 'Quick Actions' section to be taken to your canvas map, analytics page, task management page, or calendar, review area metrics, user performance, recent activity, and more! Note that the bell in the upper right corner of your screen will show you any notifications that require attention: 

     

  • Canvas Map: How to Canvas Within an Area

    NOTE: This article assumes you have already created or been assigned to an Area on the Map. If you would like instructions on how to create new Areas or access previously created Areas, please see THIS article.

    Within your FastGem Canvas app, you will see a 'Map' option at the bottom of your screen (highlighted below). Click it to be taken to a map showing your location: 

     

     

    You can use the tools along the right side of your Maps screen to navigate the map. Use the magnifying glass icon to search for and be taken to a particular address, use the target icon to make the map locate your position, drag and drop the orange eyeball icon onto the map to be taken to street view, use the expander icon to enter full screen, use the roadmap icon to view satellite imagery (or turn it off), use the + and - magnifying glass icons to zoom in and out, use the rotation icons to rotate your view clockwise and counter-clockwise, use the compass icon to center North on the map, and use the square and pentagon icons to create new areas (more details on how to create new areas HERE): 

     

     

    On the upper left side of the map screen, you can click the 'funnel' icon to open filters for your map. This is a handy tool if your map is slow to load because of an excess of pins. With the map filters, you can filter your map view to dipsplay only areas assigned to specific reps, only pins in specific dispositions/status, no more than a certain number of pins/addresses, etc: 

    Map filters applied here are cahced and the search parameters are retained until cleared. 

     

    Within each created Area on your map, numbers will appear telling you how many addresses are in a given location. You can zoom out on the screen to see 'big picture' numbers, or zoom in on the screen to see a pin assigned to each individual address. From there, click on any Pin, assign a Disposition (pin type) to it, and enter contact details (the address itself will be pre-loaded for you): 

     

    As shown above, in addition to entering contact details for the address, you can specify whether the address is business or residential, and you can also enter Notes, create (or complete) Tasks, and add (or remove) Appointments to/from your Canvas Calendar for this address.

    If ISP Integration is enabled for you instance, you will see an additional tab along the bottom of your pin, called 'ISP Info', where you can see available services for the address offered by the integrated ISPs: 

    (If you would like ISP Integration with Canvas turned on, please let FastGem support know.)

     

    Depending on the Pin type (Disposition) you choose for the address, the system will automatically respond to that Disposition by opening a new Appointment, opening a task, etc: 

    (What actions are taken in response to a Disposition being chosen can be configured by an Admin user in Canvas Settings.)

     

    You can click the 'lookback clock' icon at the top of an address record to see a log of actions taken for that record so far: 

     

    If AI is enabled for your instance, you can use the 'Ask Grok' feature at the top of an address record to gather information on the address such as available packages, pricing, etc: 

    (Ask FastGem support to enable Grok AI for your canvas instance if desired.)

     

    If your address is a multi-dwelling unit, you can define that by clicking the 'Multi unit building' checkbox. In the 'Units' tab, click 'Add Unit' to add new unit information and place orders for each unit:

     

    MDU pins will appear on the map differently than  normal pins, with a number showing the number of individual dwellings within the MDU. Clicking on an MDU pin will take you directly to the list of individual dwelling pins within it, in numerical order (the list of units is also searchable). If you wish to disposition or otherwise configure the MDU pin itself, click 'Configure Address' as shown below:

     

    PLACING ORDERS: 

    If your visit is successful and you want to place an order, you can do that from within a pin, using one of FastGem's customizable Order Forms (note that customer information such as name, business name if applicable, and address are pre-loaded for you): 

     (Note: if you are using the order form to place an order for a customer that was originally imported to FastGem Canvas from your main FastGem Site (FastGem Legacy), then in order to ensure your order form submission does not create a duplicate in FastGem Legacy, please ask FastGem support to add a hidden fg_submission_id field to the order form.)

    Upon form completion and submission, the customer/account/order information will be sent from Canvas to your main FastGem site as normal when submitting forms: 

     The record in FastGem will contain submission data and action logs, as normal. 

    In Canvas, the customer/account will be marked as Sold automatically upon form submission. 

  • Canvas Map: How to Create and Access Areas

    Areas are created and accessed from within the Maps pages in FastGem Canvas. Within your FastGem Canvas app, you will see a 'Map' option at the bottom of your screen (highlighted in the screenshot below). Click it to be taken to a virtual map (please give Canvas permission to access your location in order for Canvas Maps to work correctly): 

     

     

    MAP TOOLS:

    You can use the tools along the right side of your Maps screen to navigate the map. Use the magnifying glass icon to search for and be taken to a particular address, use the target icon to make the map locate your position, drag and drop the orange eyeball icon onto the map to be taken to street view, use the expander icon to enter full screen, use the roadmap icon to view satellite imagery (or turn it off), use the + and - magnifying glass icons to zoom in and out, use the rotation icons to rotate your view clockwise and counter-clockwise, use the compass icon to center North on the map, and use the square and pentagon icons to create new areas (more details below): 

     

     

    CREATING AREAS: 

    If you have permissions to do so, you can create Canvassing Areas yourself. To do this, click on the Pentagon icon on the right side of your Map to draw out a custom-shaped area for canvassing (To draw the area, click once on the screen and then move your mouse (or lift and move your finger, if on mobile); click once again to 'end' one side of your custom shape); then you can assign your custom area a territory name, and assign users to the territory:

     

     Alternately, you can click the Square icon on the right side of the screen to draw a rectangular area for canvassing, assign it a territory name, and assign users to the territory: 

    Once you have drawn your area, FastGem will fetch the addresses for you. If this takes longer than a few seconds, you may need to refresh your page. When addresses have generated, you will receie an alert (see the Bell icon in the upper right of your screen for alerts): 

     

    Note: It is also possible to import areas into Canvas via CSV type files. More details HERE. 

    Once addresses are loaded, numbers will appear telling you how many addresses are in a given location. You can zoom out on the screen to see 'big picture' numbers, or zoom in on the screen to see a pin assigned to each individual address: 

     

    Note: Depending on how many areas are clustered together and how far out you zoom, map numbers will switch between showing a count of areas assigned to you and number of individual addresses. This is to help with page loading speed. 

    If you have the 'View All Pins' permission (for admins), then regardless of whether you are assigned to the area, you will be able to see pins outside of areas you are assigned to. If you have the permission 'Self Assign to Areas,' then when you click on an area you are not assigned to, you will be given the option to assign yourself to that area: 

     

     

    CHILD AREAS:

    If you have already created an Area/Territory either via upload or by outlining the area on the map, and you would like to create child areas within the existing area without generating new pins (for example if you are assigning sub-sections of an area to different reps), you can do so with our Child Areas feature. Simply outline your child area on the map, making sure to keep the boundaries of the child area within the boundaries of the existing (parent) area. The system will recognize that you are creating an area within a pre-existing one and will allow you to confirm child area creation with a checkbox. The reps from the parent area will be assigned automatically to the child, but rep assignment can be changed when creating the child: 

     

    If there are two (or more) overlapping pre-existing territories, and the child area you create is within the boundaries of both of the overlapping territories, then the parent territory will default to the larger of the two pre-existing territories. When creating the child area, you will see a checkbox titled 'Include All.' If you check this box, that means your child area will be created with pins from both of the overlapping territories it is within, instead of just the pins from the assigned parent territory. If you uncheck that box, you will be allowed to choose which of the pre-existing territories to assign as a parent and copy pins from:

     

    ACCESSING AREAS:

    To access your previously created Areas, you can view them on your main Map page, as shown above, or you can click on the 'Areas' tab within Maps to see an overview of your areas and how many addresses are within each one. You can flip between 'My Areas' and 'All Areas' and see total counts for each. You can also search for areas by name on this page, or filter areas by users assigned. If you have assigned colors to different users in your Settings pages, the areas will be colored depending on which user is assigned to them. Otherwise, if only one user is assigned to an area, it will be blue, and if there are multiple users assigned to an area, it will be green: 

     

    Clicking on one of your Areas from the above page will allow you to choose whether you wish to see the area on the map, or see details of the area:

    If you click map, you will be taken directly to that area on the Map.

    If you click Details, you will be taken to the Area Details tab where you can see more detailed information about the area and each address within it. From the Area Details tab, you can assign/re-assign the area, archive the area, and look at the specific addresses within that area. You can also choose whether or not the area is outlined on the map. With the eyeball icon, you can see more detail on each address record. With the concentric circles icon, you can be taken to that address on the map. With the paper map icon, you can be taken to the address on Google Maps:  

     

    If an address record has been imported from FastGem, you will see additional information when clicking on the eyeball such as details on any work order(s) attached to that record in FastGem's main site (FastGem Legacy) if applicable, last updated date, original rep, FastGem submission ID, etc: 

     

    Also within the Area Details tab, you can click to edit exact pin positions on the map (assuming you have the correct permissions). From within the Area Details tab, simply click the Edit Pins button. You will be taken to the Area on the map, and the pins will be highlighted in orange to let you know you can drag-and-drop them to a new position within the Area. NOTE: While in Edit Pins mode, in order to zoom in/out or reposition the map itself on your page, you must be holding down the space bar. When finished, click back into the Area Details tab to Save or Cancel your changes: 



     

    If for some reason your Area has no addresses/pins within it, you will be able to click 'Regenerate Addresses' from within the Area Details page:

     

     




  • Canvas Map: Import/Export Areas

     

    IMPORTING AREAS:

    Within your Canvas Areas list (in the Map section of Canvas), there is an Import button in the upper right corner of the screen, to allow you to import areas and the addresses within them quickly: 

     

    Clicking the Import button will open a pop-up to start the import process. The first question you will be asked is whether you are importing from a CSV file, or importing from customer/lead records on your main FastGem site (FastGem Legacy): 

     

    IMPORTING FROM CSV: 

    If you select 'Import from CSV', you can choose to download our CSV Template (optional) or you can use your own CSV file, as long as you get the 'Template is Valid' message shown below.

     

    Next, Click to upload your CSV file: 

    The file you upload MUST have address, city, state, and zip code columns filled in. Latitude and Longitude for each address is NOT required, but will be populated in Canvas automatically based on address. Data in columns such as First Name, Last Name, Email, phone number, and Business name are optional but if uploaded will be stored as Lead info in the Pin for that address.

    If your template is valid, you will see a Validated Template message and be allowed to continue to the Mapping page:

     

     

    Click 'Continue to Mapping' and the next page will allow you to tell the system which of the columns in your CSV file correlate to the fields in Canvas. (Note that you can select an option like 'Street Address' for more than one CSV column if necessary and the system will load both CSV columns into the Canvas Street Address field. For example 'Street Number' and 'Street Name' columns in a CSV should both be mapped to 'Street Address' when importing into Canvas). For any fields in your CSV file that do not have an equivalent field in Canvas, simply choose 'Don't map', or 'Notes'. Once finished mapping your fields, click 'Continue to Configuration': 

     

    The following Configuration screen will allow you to Name your Area, assign users to the area, and select a Default Pin type (Disposition) for each address within the area. If the addresses in your CSV file are grouped relatively close together, as they should be, make sure the option to 'Outline area on map' (shown in the image above) is selected. The only time you would not want to select this checkbox is if the CSV file you are uploading contains addresses spanning a great distance, e.g. from TX to NY, which is not recommended: 

     

     

    If the file you are uploading contains lattitudes and longitudes for each address, you can click Show Preview to see a preview of the area you are creating on the map. If no lattitudes and longitudes are included in the file, no Preview will be displayed on this page.

     

    Once finished configuring your import, click 'Continue to Preview'. 

    The Import Preview page will tell you if any of the addresses you uploaded were unable to be validated, and why (in the example below, no street address was provided for one record). It will also display a review of information such as the number of uploaded records with attached contact (lead) information:

     

    If your import contained duplicate addresses, you will be alerted to this fact and given the option to a) upload all addresses under a single pin and designate that pin as a multi-dwelling unit, or b) upload duplicate addresses as individual pins (which may result in multiple pins stacked on top of another in your map): 

     

     

    Once you have reviewed the Import Preview, you can click to Import the records. Once you have clicked the "Import Records" button, you will see a 'Processing Import' message and then a Completed message confirming the import of your new area: 

     

    You can check your Areas list to verify the area you imported. Note that if you did not give your Area a name during import, the system will assign it a name based on the date and time of import: 

     

    IMPORTING FROM EXISTING: 

    If you choose 'Import from Existing', this will allow you to import all submissions (leads/customers) in status(es) and state(s) of your choosing from your main FastGem site (FastGem Legacy) into FastGem Canvas. The first step is to select what person status(es) in your main FastGem site you wish to copy over to Canvas, along with what State the submission records must be in for the import to 'grab' them (the state selection option is there to prevent accidental creation of areas stretching across untenably large distances): 

     

     

    Once you click Continue, the next screen will allow you to configure your import by assigning it an Area name, assigning Canvas users to work the area, and setting a default Pin (disposition) for each address entered into Canvas via this import. You can also choose whether or not to outline the area on your map. If the addresses you are importing are grouped relatively close together, make sure the option to 'Outline area on map' (shown in the image above) is selected. The only time you would not want to select this checkbox is if the addresses you are importing span a great distance, e.g. from TX to NY, which is not recommended.

     

    Next, click 'Continue to Preview', and you will see the total number of addresses you will be importing from FastGem Legacy into FastGem Canvas. If everything looks good, click the Import the Records: 

     

    When the import is completed you will see a completed confirmation message along with an import ID, a data preview, and a warning (if applicable) letting you know if any records could not be imported (usually this is due to missing address data in FastGem Legacy): 

     

    You can check your Areas list to verify the area you imported. Note that if you did not give your Area a name during import, the system will assign it a name based on the date and time of import.

    (Note: if you import from existing and then place an order on an imported customer using the order forms in Canvas, then in order to ensure your order form submission does not create a duplicate in FastGem Legacy, please ask FastGem support to add a hidden fg_submission_id field to the order form.)

     

    EXPORTING AREAS: 

    To export an Area, select an Area from your Areas list and then click to go to Area Details. From the Area Details page for that Area, if you have permissions to do so, you will have the option to Export the addresses (and contact info) from that area:
